The Yard Administrator will support the yard operations by preparing purchase orders, responding to customer and supplier inquiries, reviewing orders to verify accuracy, comparing prices and delivery dates among potential suppliers, finding new suppliers, tracking parts and consumables inventory and providing administrative support to our yard team. The position will focus on our Western operations.

Overall Goals for position

  • Prepare purchase orders for the welders, mechanics and yard manager when they need parts/supplies and follow up with status of deliverie

  • Talk to existing suppliers as they visit the yard about new products and greet new suppliers as stop by to offer their services. Seek out potential new suppliers

  • Ensuring we have all the necessities for keeping the yard running
  • Dealing with ongoing yard maintenance
  • Coordinating shipping and deliveries to and from yard and/or sites; dealing with couriers/receiving incoming packages/freight

  • Clerical duties in the yard office – inputting timesheets, scanning and sending documents to the office, filing timesheets/safety documents

  • Picking up and delivering parts/consumables to the yard and local sites

  • Writing up morning meetings and other meetings minutes as required; printing out toolbox talks and presenting to the union staff

  • Following up on service reports done by the mechanics, ensuring they are completed and matched to the parts orders and then filed

  • As required, provide general administrative support to the office such as booking HSE training, booking travel and accommodations, etc.

Roles, Responsabilities and expectations

  • Greet and welcome people to the yard – sales guys and couriers mostly

  • The ability to prioritize and manage multiple tasks and tight (and changing) deadlines

  • Responsible for maintaining the overall office appearance to ensure it remains organized and tidy

  • Perform administrative support tasks for the yard team as requested

  • Manage and place all orders for parts and consumables

  • Issue purchase orders and review/approve supplier’s invoices – check for inaccuracies in reporting and submit purchase orders to accounting

  • Coordinate courier pickups and deliveries – direct to the yard as needed

  • Inventory management

  • Collect, scan, and file/send/upload documents

  • Manage vendors/suppliers for Western Operations

  • Create and update records ensuring accuracy and validity of the information

  • Take meeting minutes as required (tailgate meetings, FLRAs, toolbox talks)

  • Able to drive company vehicles to pickup at suppliers and drop off at yard or nearby jobsites

  • Answering phone call and email inquiries

  • Other duties within the scope, spirit and purpose of the job, as requested by management

Education and Experience

  • 1+ year of administrative experience

  • Proficient computer skills – must have working knowledge of Microsoft Outlook, Word, Excel, Teams

  • High School Diploma or GED

  • Post-secondary Diploma/Certificate is an asset

  • Valid driver’s license

  • Experience in the construction industry or related field preferred but not required
